How to answer a bad review without making it worse

You are not writing to the reviewer

The person who left the one star has already made up their mind. The next forty people who read it have not. They are reading your reply to work out what you are like to deal with when something goes wrong, because that is the thing they are quietly worried about.

That changes what a good reply looks like. You are not winning an argument. You are showing a stranger how you behave.

The shape that works

Short, calm, specific, and offline. Four sentences is plenty.

  • Thank them for the feedback without being sarcastic about it.
  • Name the specific thing that went wrong, so it is clear you read it.
  • Say what you are doing about it.
  • Give a direct way to reach you and stop there.

What that sounds like: "Thanks for telling me, and I am sorry the crew left the site untidy on Friday. I have talked it through with them and we have changed how we finish up. If you give me a call on the number below I would like to put it right."

Never argue the facts in public, even when you are right. The reader cannot tell who is correct, only who sounds reasonable.

What makes it worse

Three things, every time. Explaining at length why the customer is mistaken. Copying the same reply onto every review, which readers spot immediately. And going quiet, which looks like the review was fair and you had nothing to say.

Also leave the discount out of the public reply. It reads as paying for silence, and it teaches the next unhappy customer where to start.

Answer the good ones too

This is the part most businesses skip. Replying to positive reviews is a ranking signal, it takes twenty seconds, and it makes the one reply on a bad review look normal rather than defensive. A profile where every review has an answer reads as a business that is paying attention.

If it is fake

You can report it to Google, and sometimes it comes down. Do not wait for that. Reply as if it is real, keep it short, and let it sit under a run of genuine ones. Volume is the only reliable defence against a single bad review, which is the real argument for asking every happy customer.

Answering reviews is part of what I handle on the monthly plans. The pricing is on the page if you would rather hand it over.
